How to stop overselling event parking

Every event parking team knows the sinking feeling: more cars at the gate than spaces on the ground. Drivers who paid in good faith are turned away, queues back up onto the public highway, and your team spends the day apologising instead of directing traffic. The good news is that overselling is not bad luck. It has clear causes, and every one of them can be fixed.

The spreadsheet problem

Most oversells start in a spreadsheet. Bookings are typed in after the fact, several people keep their own copies, and nobody is certain which version is current. A spreadsheet does not know your capacity and will happily let you add row 501 to a 500-space car park. By the time anyone totals the column, the event is days away and the damage is done.

Double-selling across channels

The second cause is selling the same space twice through different doors. An online booking here, a phone booking there, a block held for hospitality, season passes carried over, walk-ups on the day. When each channel keeps its own list, none of them knows what the others have sold. Two systems can both believe space 400 is free, and both will sell it. The only cure is a single source of truth: one database that every channel writes to, so a space sold anywhere is a space sold everywhere.

Count by the day, not the event

Event parking is sold by the day. A car park that holds 500 vehicles on Saturday holds 500 again on Sunday, and a driver coming only on Sunday should never take a Saturday space off sale. Systems that track one flat total for a whole event either oversell the busy day or undersell the quiet one. Capacity has to be set and counted per car park, per day, with every booking landing against the specific day the driver picked.

Live counts, not end-of-day totals

A count that is updated tonight cannot stop an oversell this afternoon. You need live numbers: booked, arrived and spaces left, day by day and car park by car park, visible to the whole team as sales happen. When the count is live, you can see a day filling up and act before it becomes a problem, not after.

What oversell-proof actually means

Oversell-proof is not a promise to be careful. It means the system itself refuses the sale. When a car park reaches its capacity for a day, that day simply stops selling, automatically. Nobody has to watch a total or remember to close anything. That is how parktec works:
