Event parking and your traffic management plan

If you are organising an event of any size, someone will ask to see your traffic management plan. Councils expect it, safety advisory groups scrutinise it, and landowners increasingly want it in writing before they hand over a field or a stadium car park. And at the heart of every good plan sits one deceptively simple question: how are the cars going to arrive, and where are they going to go?

Parking is the first domino

Get parking wrong and everything behind it falls over. Cars queuing at the gate become cars queuing on the road, which becomes standing traffic on the public highway, which becomes a safety issue, a complaint to the council and a black mark against next year's licence. Get parking right and the rest of the plan gets easier: arrivals flow, stewards stay calm, and the event starts on time. That is why we always tell organisers to plan the car park before the stage.

Pre-booking spreads arrivals

The single biggest improvement you can make is moving from pay-on-the-day to pre-booking. When visitors book online against their number plate and pick their day in advance, you know how many cars are coming before anyone sets off. There is no fumbling for cash at the gate, no negotiating, and no guesswork about capacity. Keeping queues off the public highway

Councils care about one thing above almost everything else: standing traffic on the public road. Showing that arrivals are pre-booked, capacity is capped per day and per car park, and gate throughput is quick and controlled is far more persuasive than a paragraph promising that stewards will cope. It demonstrates you have thought about arrival flow, highway impact and what happens when a car park fills up, which is exactly what the group is there to test.
